How do I know my ad data is up to date?
Go to Traffic → Connections → Data health. The page gathers, on a single screen, everything that explains the numbers on the Ads dashboard: what has been imported, what each sync did with each account, who authorized the access, and which reports you can open with what exists today.
The list of ad accounts themselves — status, last sync, campaigns and spend for each one — lives under Traffic → Connections. To act on a single account, see How do I sync or review a single ad account?.
Before you start
- A workspace role that reaches the Traffic area — see Traffic.
- At least one connected ad account. With none, the cards read zero and the sync list is empty.
- The cards and the authorization history cover the whole workspace. The account filter applies only to the Syncs list.
Step by step
- Go to Traffic and click Audit.
- Start with Available reports: the cards summarize what has been imported and, right below them, each dashboard report gets a badge.
- If a report is Partial or Unavailable, the text next to it says what is missing.
- Scroll to Syncs to see what each request did, account by account. Use the Account and Platform filters to isolate what matters, and the pagination at the bottom to go back in time.
- On a Failed or Stuck row, click Try again to request a new sync for that account only.
- Under Authorization history, check who authorized each connection and what happened to it.
- Under Authorization diagnostics, click Run diagnostics when you suspect the platform is returning less than it should.
What needs you
The top of the tab lists what is holding the numbers back, most serious first, each with its action next to it:
With nothing pending, the tab says everything is up to date.
Available reports
The cards at the top sum up what has been imported:
Below the cards, each dashboard report gets a badge:
By Funnel is the one that most often ends up Partial. It only counts a campaign when the ad's link carries the tagging that identifies the destination funnel. A campaign without that tagging — or matched by name only, which stops working the moment someone renames the campaign — is counted among your campaigns but not in the report. To fix it, tag your ad links: see UTMs and funnel traffic tracking.
Syncs
One row per account per request, grouped by request. Each block header says where it came from — Manual (the Sync button under Accounts, or Sync now and Try again on one account), Scheduled (the daily run) or On connect (the first import after authorizing) — the date, and how many accounts were included.
The list shows 50 rows per page, most recent first, and the total for the current filter appears at the bottom. A request with many accounts can continue on the next page, under the same header.
Changing a filter goes back to the first page.
Try again
Failed and Stuck rows have a Try again button. It queues a new sync for that account only — the same request as the Sync now button on the account's details — and answers right away with Sync queued. The outcome shows up as a new row at the top of the list, not on the old row.
The request is refused in two situations, and the message says which:
The Sync button at the top of Connections covers every account with sync on at once. It answers right away, but the work continues in the background — this is where you follow the outcome.
Authorization history
Every connection, reconnection and disconnection made in the workspace, with who authorized it on the Clickmax side and with which platform user. This is what you check when access drops and someone needs to be contacted.
One authorization covers every ad account the person reaches on the platform, which is why the history belongs to the workspace and not to an account. The authorization syncing each account today appears on that account's details.
Authorization expiring or expired notices
A Meta authorization lasts about 60 days and does not renew on its own. So the numbers do not stop without you noticing, Clickmax warns you through the notification bell — the workspace owner and, if it was someone else, whoever authorized:
- Up to 7 days before it expires: a notice that the Meta authorization for the account expires in N days, asking you to reconnect so you do not lose data.
- When the account stops syncing (authorization expired, no access, revoked by the platform or left out of a reconnection): a notice that the account stopped syncing, with the reason, asking you to reconnect.
The notices are written in Portuguese. Each one goes out once per authorization. Clicking it opens Traffic → Connections with the Connect account window open. Reconnecting creates a new authorization, and the notices apply to it again.
While any account needs to be reconnected, the top of Traffic → Performance shows the N accounts need to be reconnected notice, with a Reconnect button. In the Accounts list, the Expires in column shows how many days are left before each Meta account's authorization expires; it is highlighted from 7 days on. Google accounts show "—", because their authorization renews on its own.
I reconnected and an account was left out
A reconnection only brings the accounts the person can still reach on the platform. If someone lost access to an account since the last connection (for example, they left the Business Manager), that account shows as disconnected with the reason that the new authorization does not include it. Reconnect with someone who has access to it — the history already imported is preserved.
Authorization diagnostics
Checks, permission by permission, what the authorization actually allows Clickmax to read. It helps because the platform can grant less than was requested — whoever authorizes can uncheck items on the consent screen, and the connection keeps looking healthy until data goes missing.
It runs only when you click Run diagnostics, never on its own: each run queries the platform for real.
The "Updated" text at the top of the Performance dashboard
In the corner of Traffic → Performance, the Updated … text tells you how recent the numbers you are looking at are. It counts only the accounts that feed the dashboard: connected, with the Sync switch on. An account that is disconnected, or has sync turned off, is left out — otherwise it would freeze the text at the date it stopped, even with every other account up to date.
- Among the accounts that feed the dashboard, the most outdated one counts, not the most recent: an account stalled for two days among twenty up-to-date ones has to show. Hover the text to see which account it is.
- No accounts syncing appears when every account is disconnected or has sync turned off. Turn the switch on in the account detail, under Accounts.
- Never synced appears when there are accounts switched on but none has finished its first sync yet.
- The yellow dot next to "N connected accounts" lights up only when an authorization expired or lost access to the account — situations where you need to reconnect. An account you disconnected does not light the dot and is not counted as connected.
If it did not work
- The cards read zero, but I do have accounts. Reload the page. If it persists, contact support.
- The page shows "0 accounts syncing" while accounts are connected. Sync is off on them. Open Accounts, click View details on the account and turn the Sync switch on.
- A report is Unavailable and the cards are all zero. No sync has finished yet. Check under Syncs whether the last request failed and use Try again.
- An account shows Authorization expired or No access. Reconnect it from Connect account, on the Accounts screen; the history already imported is preserved.
- An account says whoever authorized no longer has access to this ad account. The authorization still works for the other accounts, but not this one. Ask someone with access to the account in the Business Manager to click Connect account.
- The Account filter does not list the account I want. The list shows up to 100 accounts. Open the account's details under Accounts: its sync history is there.
