  • How do I set up the AI SDR from scratch?

In Settings → Accounts Hub → My agents, click Set up AI SDR. In 5 steps you pick the AI key, the name and the way of talking, the questions it asks and the WhatsApp number. At the end, Activate creates the agent and the deployment, and turns everything on.

    Before you start:

    • Role: a workspace member who can create AI agents and custom fields.
    • A connected WhatsApp number. See Connect your WhatsApp.
    • An OpenAI or Anthropic API key. If you already registered one, just pick it.
    • (Official WhatsApp) An approved template, to follow up with people who went more than 24 hours without replying. You can continue without it.

    Steps

    1. In My agents, click Set up AI SDR and then Start. If your workspace has no agent yet, the button shows up in the middle of the screen.
    2. AI: pick a key you already registered or register a new one and click Validate and save key. The model is chosen for you; you can change it later on the agent page.
    3. Agent: enter a Name, pick the Goal (Qualify leads, Book meetings or Reactivate stalled leads) and the Way of talking. The WhatsApp preview on the side shows how it replies.
    4. Qualification: check the questions the SDR should ask. Each one saves the answer to a contact field: below the question, search for a field you already have or type a name and click Create field. The ones marked New field are created on activation. Use Add question to include your own and, in the corner of each question, the pencil to change its text or field and the trash can to remove it. In Consider ready after answering, pick how many answers are enough. On activation, the questions and this rule are written into the agent's Persona and instructions, in a section listing what to find out, which you can adjust later on the Configuration tab. Keep Create an opportunity when ready checked and pick the Pipeline so the opportunity lands in its first stage.
    5. WhatsApp: pick the number. Numbers that already have an agent show up disabled, with the name of who handles them. If all of them are taken, release one in My agents, connect another, or check Activate without a number for now: the agent is created, and the number and follow-up are set when you link a number to the agent. With a number picked, the SDR replies on its own. With Follow up when there's no reply checked, pick how long to wait before trying again (1 to 72 hours); the SDR tries up to 2 times; on official WhatsApp, also pick the template to follow up after 24 hours.
    6. Review: check the summary (each part has Edit) and click Activate followed by the SDR's name. If you picked a number, confirm in the window that opens.

Done: the SDR is now on for the chosen number, replying straight to the contact. On the final screen, Use in a flow takes you to automations, where the AI SDR step decides who it reaches out to, and Test a conversation opens the agent test, which talks with the same instructions as the SDR and shows what it would do (check the calendar, hand off to the team) as a Simulated action, without executing it. To define when it hands the conversation to a person, create rules in the agent's Escalation tab — see Create an AI agent with your own key.

When the SDR books: opportunity in Meeting booked, with the closer as owner

Every meeting the SDR books is linked to the contact's open opportunity in the assignment's pipeline; if the contact doesn't have one yet, the SDR opens it. Two settings you already have then act on that opportunity:

    1. The closer takes over the opportunity. In the pipeline, turn on Booking sets the owner (under Pipeline settings → Ownership). When the SDR books the meeting, whoever runs it becomes the opportunity owner. That person must be an attendant of the pipeline; if not, the owner stays the same. See Booking sets the owner.
    2. The opportunity moves to the meeting stage. On the Meeting booked stage (or the one you use), create a Passage trigger with the Meeting booked event. It moves exactly the opportunity linked to the meeting. See Move the opportunity when a meeting is booked.

With both on, the flow is: the SDR books → the opportunity goes to Meeting booked → the closer who got the meeting becomes the owner.

If the assignment is set to Don't open opportunities, the meeting is linked to the open opportunity the contact already has; with none, the meeting is booked without an opportunity, and the two settings above have no card to act on.

    If it didn't work

    • The Start button is disabled. No WhatsApp number is connected. Use Connect number on the same screen.
    • Activation stopped with a "Stopped at …" message. The message says where it stopped and why. Fix it (for example, pick another number) and click Try again: what was already created is reused, nothing is duplicated.
    • The SDR doesn't follow up with people who went quiet for more than a day. On official WhatsApp, follow-ups after 24 hours need a template. Pick one in the agent's Handling tab. See How to put the AI agent to answer on WhatsApp?.
