Where do I see my tasks and appointments together?
Under Contacts & Commercial → Activities. The page shows tasks (call, WhatsApp, meeting, task) and appointments in the same list and on the same calendar. The separate Tasks and Scheduling screens are gone: old links open Activities on the matching view.
Before you start
- Role: anyone operating the CRM sees their own activities; Owner, Admin and Editor see the whole team's and can filter by attendant.
List view
- In the CRM menu, open Activities. The List view opens first. To switch views, use the icon switcher at the end of the toolbar (list and calendar) — the same one the pipeline uses for Kanban, List and Forecast.
- The list has two parts: the ongoing activities (open or scheduled tasks and scheduled or confirmed appointments) come first, with no title, and the Done ones (resolved or cancelled tasks and completed, cancelled or no-show appointments) come after, under the Done title.
- Each activity is a separate card with space before the next one, like the rows of the Contacts list. The card shows date and time, the type icon, the title, the opportunity (or the contact's name when there is no opportunity), the pipeline, the attendant (with their profile photo, or initials when there is none) and the status — the same for tasks and appointments. An overdue activity shows its time in red.
- Next to the name are the contact's email and phone icons. Hover to see the value and click to copy; clicking an icon doesn't open the activity. A channel the contact doesn't have shows no icon.
- For a task, the contact is the primary contact of its linked opportunity.
- Click a task to open its opportunity on the Task tab. Click an appointment to open its edit dialog.
First visit, with no activities yet
While the account has no tasks or appointments at all, the page shows Create your first activity in place of the list and the calendar, with a preview of what the list will look like. New activity opens the creation form, and Connect calendar takes you to CRM Settings to connect your Google calendar (the button only shows if your role can open the Connections screen). As soon as the first activity exists, the list and the search and filter bar are back as usual.
A search or filter with no results does not show this screen: the list keeps saying "No ongoing activities" and "No completed activities" so you can adjust the filter.
Calendar view
- In the view switcher at the end of the toolbar, click the calendar icon.
- Use Month, Week, Day or Agenda (keys
m,w,d,a). Tasks and appointments show up as events with one color per type; an appointment with a booking page uses that page's color. - Drag an event to another time to reschedule it: for a task that changes the deadline; for an appointment, the start and end.
- Click an empty slot to create an activity at that time.
Filters and search
Two cuts sit right on the toolbar:
- Pipeline — the button to the left of Overdue reads All pipelines while nothing is picked. Click it to pick one or more pipelines; with two or more picked, the button shows how many. All pipelines clears the cut. The button only shows when the account has more than one pipeline.
- Overdue — turns the cut on and off in one click. It only brings what is still open and already past its end: a task past its deadline (plus its duration, when it has one) and a meeting past its end time — a meeting in progress isn't overdue yet. An all-day task only counts once the day is over. It's the same rule as the red time. The number next to Overdue tells how many overdue activities the current cut has (pipeline, search and Filters), whether the button is on or off. While it's on, the Done part leaves the list, since nothing done is overdue. It works on the list and on the calendar.
The Filters button opens ready-made filters (Due today, Meetings and appointments, No attendant, Worked out and more) and, at the bottom, the Advanced filter: a condition builder with field, operator and value, combined with AND and OR. You can cut by type (Call, WhatsApp, Meeting, Task, Appointment), title, priority, outcome, deadline, owner (attendant) and pipeline. In the field search, typing "owner" or "attendant" finds the same field; pick is one of to choose one or more owners. See the step by step in How to filter activities. The toolbar cuts and the Filters ones combine, and apply to both the list and the calendar. Search looks at the title or subject, notes, the opportunity, pipeline and attendant names, and the contact's name, email and phone. The same filters apply to the list and the calendar.
Phone numbers work formatted or not: (11) 99999-8888, 11999998888 and 5511999998888 find the same contact — you can paste the number straight from the WhatsApp conversation. For email, any part works, like the company domain. For a task, the contact is the one on its linked opportunity.
The New activity button and the menu next to it
New activity creates a task, call, WhatsApp or appointment. The arrow next to it opens a menu with what surrounds this screen:
- Export CSV — downloads the activities in the current cut as a spreadsheet. See How do I export my tasks and appointments to CSV?. It only shows for roles that can export.
- Settings — shortcuts to the CRM Settings screens that feed this page: Set up calendars (connect your Google calendar), Set up public agendas, Set up teams and Set up the recording extension. Each shortcut only shows if your role has access to that screen.

If it didn't work
- A task without a deadline is missing from the calendar → the calendar only draws what has a date. It is still on the List view, under Ongoing, with "No date".
- I can't see a colleague's activities → your role sees only your own. Ask an Admin.
- I opened Scheduling from an old link and landed on Activities → that's expected: Scheduling became the Calendar view of Activities. Booking pages live under CRM settings.
