How to sort the contacts spreadsheet by a column
In Specialist mode you sort the spreadsheet by clicking a column title. Each click changes the direction, and the third click removes the sorting and returns the spreadsheet to its default order.
Before you start
- Access to the Contacts section of the workspace.
- Sorting applies to the whole spreadsheet, not only the rows currently on screen: it runs over every contact that matches the filter you applied.
Sort by a column
- In Contacts, click Specialist mode.
- Click the title of the column you want to sort by.
- Click the same title again to reverse the direction.
- Click a third time to remove the sorting.
The symbol next to the title shows the current state:
Only one column sorts at a time — clicking another title replaces the previous sorting.
Sorting does not undo your work in progress: selected rows and unsaved edits stay valid after the spreadsheet reorders.
Sort by a custom field
Custom field columns show a cf badge next to the title. They sort by the field's type, not as loose text:
Fields of other types (such as yes/no and multi-select) cannot be sorted: the title is not clickable and shows no ⇅ symbol.
Contacts with no value always go last
A contact with no value in that column goes to the end of the list in both directions — ascending and descending alike. This is intentional: most custom fields are empty for most contacts, and putting them on top would hide exactly the contacts you want to see.
So when you sort a date field in descending order, the top shows the most recent date — not the contacts without a date.
Old values that are not valid dates
If a field is of type date today but used to be another type (or received an old import with loose text), some contacts may hold a value that is not a recognisable date. Those contacts are treated as having no value: they go to the end of the list, together with the empty ones, and do not disturb the ordering of the rest.
To fix one of these, open the contact and fill the field in again with a valid date.
