How do I invite a person to a community?
Open the community, go to the People tab and click Invite. The person joins the community with the role you choose and gets an email with the entry link. To get in, they open the link, enter their own email and type the access code that arrives next.
Before you start
- A community already created.
- The person's email: it is their login.
- Role: check the permissions table.
Steps
- Under Members area → Communities, open the community.
- Go to the People tab and click Invite.
- In the Invite to community window, fill in the person's Email. The send button only unlocks once the email is filled in.
- Optionally fill in the Full name: it is how the email greets the person. Without it, the greeting uses the start of the email address.
- Under Role, choose Instructor, Mentor, Moderator or Member (default).
- Leave Send access email checked for the person to get the invite email. Clear it to add them without notifying: they join the community and the notice reads Member added.
- Click Send invitation. The Invitation sent notice confirms the person joined the community.
Resend the invite to someone already listed
For someone already in the People tab, there is no need to type the email again:
- In the People tab, open the person's menu (the three dots at the end of the row).
- Click Invite again.
The person's role and status stay the same, and they now count as invited. The invite email goes out again, even if they were invited before. The Invitation sent again notice confirms it. If a notice says the email was not sent, see If it didn't work.
You can invite the same person again up to 3 times every 15 minutes. The community owner has no Invite again option.
What the invited person receives
An email with the subject You've been invited to the community name community, with the Join the community button. The button's link leads to:
- the members area linked to the community, when there is one;
- the community's own link, when it is not linked to any area.
The email goes out in Portuguese, English or Spanish, following the browser language of whoever sends the invite. For any other language, it goes out in Portuguese.
How the invited person gets in
- They open the link in the email.
- On the login screen, they enter the same email the invite was sent to.
- They get an access code by email and type it to log in. The code is valid for 15 minutes.
What they find depends on how the members area linked to the community is set up:
- Closed area: the invited person gets in through the community, even without being enrolled in any class. Once inside they see the community; the invite does not unlock courses, classes or the calendar. This also applies to a former student of the area who was removed: getting in through the invite alone, they do not see the courses of their old classes. To give the courses back, add the person back to the members area.
- Area open to visitors: the person gets in like any visitor and gets a free account, with the area's free courses, and sees the community. Exception: a former student of that area who was removed gets the invite email, but the access code never arrives. To let that person in, add them back to the members area.
Who does not get in through the members area
Only the invite opens the area. Someone who joined the community on their own, as a student of a class, shows up in the People tab as Member, but that does not open the area for them:
- they do not get in through another members area linked to the same community;
- if you remove the student from the area, or they lose the class that gave access to the community, they can no longer get in or see the community.
To let that person in through the area even without a class, use Invite again in their menu in the People tab: they now count as invited and get the email as usual. Instructors, mentors, moderators and people you put into the community through the bulk action already count as invited.
Removing a person from the members area also removes their entry through the community, even if they were invited. They stay in the community's People tab. To give the entry back, use Invite again in their menu.

If it didn't work
- The notice "Could not send invitation. Check the email and try again." shows up → check the email you typed. The same notice shows when the person was already invited: look for them in the People tab and use Invite again.
- The invite email didn't arrive → the invite still stands. Use Invite again in the person's menu to send the email again, or send the entry link yourself: the person enters their email on the login screen and gets the code.
- The notice "Invitation saved, but the email was not sent" shows up → the person now counts as invited, but the email did not go out. Check whether their status is Blocked or Muted and whether the community is active (see the items below).
- The notice "Could not send the invitation again. Please try again." shows up → if you invited the same person again several times in a row, wait 15 minutes.
- The invite email didn't arrive and the community is inactive → an inactive community sends no invite, because nobody gets in through it. The invite is kept: once you reactivate the community, send the entry link to the person.
- The invite email didn't arrive and the community has no linked members area and no link of its own → in that case the email is not sent, because there is no link to send. Link the community to a members area and pass the area's link to the person.
- The code didn't arrive and the person asked more than once → a new code for the same email only goes out after 1 minute.
- The code didn't arrive and the person typed a different email → the code only goes to the email that received the invite.
- The code didn't arrive and the person's status in the community is Blocked or Muted → in a closed area, entry through the community only works for people with the Active status in the People tab. For the same reason, inviting someone who is blocked or muted sends no email: the status stays the same until you change it.
- The code didn't arrive and you removed the person from the members area → removing from the area also removes the entry through the community. Use Invite again in their menu in the People tab.
- The code didn't arrive and the person joined the community as a student, without an invite → expected. See Who does not get in through the members area.
