How do I share a folder and set roles in the Drive?
Open the folder, click Share, type the person’s name or email in Add people or teams, pick the role and click Invite. Anyone listed can access the folder and everything inside it.
Before you start
- Editor or Owner role in the folder (or the space). Only Owners change someone else’s role or remove access — see the roles table in What is the workspace Drive?.
- The person must be part of the workspace. The Drive does not send invitations outside it.
- A Drive role never exceeds the person’s workspace role: a profile that cannot publish anything in the workspace does not become an Editor of a space.
Share a folder
- Open the folder and click Share (top right).
- In Add people or teams, type the Name or email and pick the person or team.
- Choose the role next to it and click Invite.
- Check the People with access list and click Done.
Sharing a folder applies to all of its contents, including what is uploaded later. Sharing a single file applies to that file only.
What each role does
- Viewer — views and downloads.
- Commenter — views and comments.
- Editor — uploads, edits and organizes.
- Owner — manages access and deletes.
The role set on the space applies to every folder inside it. In a specific folder you can restrict (let fewer people in), but not expand the role of someone who is already a space member: a space Viewer stays a Viewer in any of its folders. People who came in by inheritance show the Inherited from {space} tag — to change their role, change it on the space.
Change a role or remove access
- Open Share on the folder.
- Under People with access, change the role in the selector next to the person.
- To remove the person, choose Remove access.
The space’s original Owner cannot be removed by someone else. The workspace owner sees everything, even without being on the list.
General access
Under General access you decide whether workspace members who are not on the list can find and view the folder (as Viewers) or whether it stays restricted to whoever was added. Restricted folders show a lock in the list.
No public links
Copy link copies the folder’s or file’s address inside Clickmax. Whoever receives it must be logged into the workspace and have access to the item — otherwise they see a "no access" screen. To publish a file on the internet, use the area that publishes it (for example, an image on a page in the editor).
