How do I record what happened in a scheduled meeting?
Open the opportunity, go to the Next actions tab and click the meeting row: the outcome actions open right there, below the row — no need to enter the edit window.
Before you start
- Role: you can only give an outcome to appointments inside your attendance scope. An attendant with restricted access only sees and only acts on their own appointments — a colleague's do not show up to edit. Check what each role covers in the permissions table.
- The meeting must be open (scheduled or confirmed). A meeting already completed, cancelled or marked as no-show only shows the Reopen button.
Give the outcome from the opportunity
- Open the opportunity — from the card on the pipeline, or from its direct link.
- On the Next actions tab, find the meeting in the Focus list.
- Click the meeting row. A strip of actions opens below it, without leaving the screen.
- Pick one of the actions:
The same actions show up in the (⋮) menu of each row on the opportunity's Scheduling tab, and in the appointment detail panel of the attendance agenda — it is the same strip of actions, only where you click to open it changes.
Reopen an outcome
A meeting marked as completed, no-show or cancelled shows only the Reopen button. Reopening brings the meeting back to scheduled and clears the previous outcome — use it when the record was a mistake.
No-show is not the same as cancelled
Unresolved cancels the meeting: the meeting is not going to happen, and you must state a reason. No-show is different — the meeting was still on, and it was the lead who missed it. Use "No-show" when it makes sense to resume prospecting with that lead; use "Unresolved" when the meeting itself was called off.
Confirmed is not the same as completed
Confirming only signals the meeting is still on — it stays pending. Once the scheduled time passes, it still shows up as overdue in the list, even if confirmed. Only Completed, No-show and a cancelled meeting leave the queue of pending items.
The outcome is recorded in the history
Every state change of the meeting — booked, rescheduled, confirmed, held, no-show and cancelled — goes into the opportunity history, with date and time. You can reconstruct what happened with the lead without relying on anyone's memory.
The same goes for the no-show the system records on its own: it shows up in the history like any other outcome.

If it didn't work
- The outcome actions do not show up, or the row does not react to your click: you lack permission to act on that meeting — check the attendance scope and the permissions table.
- Unresolved does not confirm: the reason is required — write something in the field before confirming.
