  • How to filter contacts by webinar behavior

The contacts filter has a Webinar participation condition: it finds contacts who participated (or did not participate) in a webinar the way you describe — registered, attended or no-show, by watch time, by having reached the offer moment, or by having clicked the room CTA. It is the way to turn your event's hottest audience into a contact list, ready for broadcast, mass automation or pipeline import.

    Before you start

    • A workspace role with CRM access and permission to view contacts.
    • The condition sees registrations across every webinar in the workspace. Deleted webinars do not count.
    • The contact must have been linked at registration time (the link is made by email). Phone-only registrations do not show up in the filter.

    Build the filter

    1. Open My Contacts and click Filters.
    2. Add a condition and pick the Webinar participation field (Webinar group).
    3. Next to the field, pick the mode: participated (the contact must have a registration matching the block) or did not participate (the contact must have no matching registration).
    4. In the block below the condition, describe the participation:
      • Webinar — a specific webinar or any. When you pick a webinar you can also narrow it down to a specific session.
      • Attendance — registered (attended or not), attended (entered the room) or did not attend (the no-show, a great recovery target).
      • Watch time — in minutes or % of the video, with a minimum and/or maximum.
      • Reached point — reached the pitch moment, the offer moment or the end of the video.
      • Offerclicked or did not click the room's offer button.
    5. Combine it with other contact conditions as usual. To reuse the cut, click Save as segment.

The same block is available when creating or editing a segment and in the contacts specialist mode — and, as a segment, it feeds broadcast, mass automation and pipeline import.

Every condition applies to the same registration

Inside a block, all rules must be met by the same registration. "Attended" + "clicked the offer" on webinar A only finds people who did both on A — a contact who attended A and clicked B's offer does not match.

If you want different rules to be satisfiable by different webinars, add two separate Webinar conditions: each block looks for its own registration.

    With or without any participation

Leave the block without conditions to filter by plain registration:

    • participated + empty block → contacts registered in any webinar.
    • did not participate + empty block → contacts who never registered for any webinar.

    Ready-made examples

    • Recover no-shows: specific webinar + attendance did not attend → broadcast with the replay link.
    • Hot audience: attendance attended + reached point offer moment + offer did not click → sales follow-up automation.
    • Super engaged: watch time at least 80% of the video → import into the sales pipeline.

    Good practices and limits

    • Watch time and percentage reflect the last session the contact watched; the pitch/offer/click milestones, once reached, are recorded forever.
    • Chat interaction and live × replay distinction are not yet available as conditions.
    • The same signals exist as automation triggers (Webinar group in the flow editor) — filter and trigger read the same source, so "reached the offer" means the same thing in both places.
