  • Export the records of an object, like properties, to CSV

    The Export CSV button, next to Filter in an object's list (e.g. Properties, Vehicles), builds a file with the records: the object's fields, the owner, the linked records and the dates. It is the same assistant as the contacts and opportunities export. The export runs in the background and the file becomes available on the Bulk actions page.

    Before you start

    • Permission: exporting records is its own permission in the Custom objects resource. Whoever sees all records of the object already has it; whoever only sees the records they own does not export unless an administrator grants it — and then exports only those.

    Export what the list shows

    1. Open the object in the Contacts & Commercial menu (e.g. Properties).

    2. To narrow it down, use the search, the Filter or a saved view. The file matches exactly what the list shows.

    3. Click Export CSV, next to Filter.

    4. In Export summary, pick the scope:

      • from the filtered view — everything matching the current search and filters;
      • records — every record of the object, no filters.
    5. Pick the columns. The shortcuts build a ready selection:

      • Custom — the columns you see in the list, plus the owner;
      • Full backup — every field, link and date;
      • BI / Analytics — numbers, dates, options and the ID, to join with other datasets.

      Check, uncheck or drag the rows to change their order in the file.

    6. To get notified, check Email me when it is done and confirm the address.

    7. Click Export.

    The export shows in the corner of the screen while it runs. When it is done, open Bulk actions and click the task to download the file (e.g. properties.csv).

    Export only some records

    1. In the List, check the records using the box on the left of each row. Select all N takes every record in the current filter.
    2. In the bar that appears at the bottom, click Export.
    3. Pick the columns and click Export.

    With records checked, the scope is locked to the selection.

    What each column holds

    ColumnWhat it holds
    Object fieldsOne per column, with the field name in the header. The title field comes first.
    SelectionThe option label, as in the list (e.g. Apartment). Several options are separated by |.
    Number, currency and percentageThe plain number with a decimal point (480000, 72.5), ready to add up in a spreadsheet.
    DateIn the YYYY-MM-DD format.
    Yes/No1 or 0.
    Photo and fileThe file link.
    Links (e.g. Owners)The linked records, with the same name the list shows, separated by |.
    OwnerWho owns the record.
    Created at, Last updatedIn UTC, ISO format.
    Internal IDThe record identifier, to join spreadsheets.

    An empty cell comes out as -.

    If it did not work

    • Don't see the Export CSV button? Your permission does not include exporting records. Ask an administrator.
    • Exported fewer records than expected? Check the active search and filters, or pick records (all). Whoever only sees their own records also exports only those.
    • The file did not arrive by email? The link is also on Bulk actions; open the task there to download.
    • A field is missing? Inactive fields are left out. Activate the field in Fields and links and export again.
