  • Where do I add and link an object's records, like properties?

    In the Contacts & Commercial menu, each object your account created has its own item (e.g. Properties). There you find the listing with search, filters and saved views, the button to add a record, and each record's sheet. When the account has more than three objects, they're grouped under Your objects.

    Before you start

    • The object must exist. See How do I create my own object in the CRM?.
    • Seeing records needs the custom objects permission (Objetos personalizados → View); adding, Create; changing fields, owner and links, Edit; removing, Delete. Someone allowed only their own records sees and changes just the ones where they're the Owner.

    Add a record

    1. Open the object in the menu and click the new-record button (e.g. New property).
    2. If the object has a photo field, click the dashed tile at the top of the form to pick the images — you can pick several at once.
    3. Fill in the title field — it's required — and the Details fields shown in the form.
    4. Pick the Owner. If you don't, the record is yours.
    5. Click Create. The record's sheet opens next.

    To bring in many records at once from a spreadsheet, see How do I import a spreadsheet of properties (or another object) into the CRM?.

    While you fill it in, the Preview on the side shows how the record will look: photo (or the object's icon), title, the first fields and the owner. On mobile, the preview sits below the form.

    Find records

    • Search looks at the title field.
    • Click Filter to filter by the object's fields or, under Through links, by the linked record's fields — for example, properties whose owner lives in São Paulo. When many linked records fit, choose whether the filter applies to Any, All or None.
    • Click a column name to sort by it: the 1st click sorts from lowest to highest, the 2nd reverses it and the 3rd goes back to the default order (newest first). Records without a value always stay at the end. ⇄ and photo columns don't sort.
    • Every listing has Criado em (created) and Atualizado em (updated) without creating a field. Updated changes on its own whenever the record changes: a field, the owner or a link added or removed.
    • Each filter becomes a chip above the table that you can turn off and on without deleting it.
    • Save view stores the active filters under a name. The view shows for the whole team.
    • On the right, switch between Lista (list) and Kanban. The Kanban shows one column per option of a single-select field (e.g. Status), picked in Agrupar por (group by), plus a No column. Drag a card to another column and the field changes right away (and goes to the record's history). If the object has no single-select field, a notice points to Fields and relations to create one.
    • A saved view also stores the mode (list or Kanban) and the Kanban field.
    • In Campos (fields), choose what shows and in which order: in the list, the table columns; in the Kanban, the fields shown on the card (title and photo always show) and the column order. Check to show and drag by the handle to reorder. Save view stores this choice along with the filters.

    Columns marked with ⇄ show linked records.

    Change or delete several records at once

    In the List, tick records with the box on the left of each row (the header box ticks the whole page). The bulk action bar shows up at the bottom, just like in Contacts:

    • Select all N extends the selection to every record in the current filter and search, not only the ones on the page.
    • Change field opens the object's fields, plus Owner. Pick the field, fill in the new value or tick Clear the value, and click Apply. Every record that changed gets the change in its history. Unique-value fields are left out, because they can't repeat the same value across records.
    • Add note writes the same note into the History of every selected record.
    • Change owner hands the records to someone else. Remove owner leaves them without an owner. Both live under Other bulk actions and go into each record's history.
    • Export builds a CSV with only the checked records — see Export the records of an object to CSV.
    • The trash icon deletes the selected records. Type EXCLUIR to confirm.

    Up to 200 records, the action finishes right away. Above that it runs in the background: its progress shows in the tasks notice at the bottom and stays in the bulk action history, like Contacts' bulk actions.

    Changing requires permission to edit records; deleting, permission to delete them. People who only see their own records act on those only.

    The record's sheet

    Click a row to open the sheet. There you:

    • change the Owner;
    • edit values in the Details section — changing the title field renames the record everywhere; on a photo field, + adds photos and, hovering a photo, × removes it and the star makes it the Cover (the photo used as the avatar);
    • see a section for each relation, with Link to add and each item's X to unlink;
    • copy the record's link or delete it from the menu;
    • write a note at the top of the History (with bold, lists and links) — from the note's ⋮ menu, Edit it (the previous version is kept and the note shows "edited") or Delete it; someone else's note only with permission to configure objects — and follow, right below it, who created it, every field change (with the before and after values), owner changes and every link added or removed — including the automatic swap when the relation accepts only one. The link also shows in the history of the linked contact, opportunity or company; In the CRM Activity history, each of these rows says which record it belongs to (e.g. Property · Rua A, 1) and has View property to open the sheet;
    • open the record full screen with the button next to the X — the copied link goes straight to that page, and the collapse button takes you back to the listing with the sheet open.

    When the relation allows a single record on the other side (e.g. a property's owner), the button becomes Change: picking another one replaces the current one.

    The contact's sheet, the opportunity's sheet and the company page get a section named after the relation (e.g. Properties of interest), with a Link button and a search over the object's records. If the record doesn't exist yet, the search offers to create and link it in one go.

    If the relation with opportunities has Show on the opportunity card on, the record shows on the pipeline card as a row with its photo (or the object icon) and title; with more than two records, the card shows the first two and a +N. Click the row to open the record. To hide the records in one pipeline, turn off Linked records (objects) in the card fields.
