  • How do I ask the AI to build a meeting playbook?

Describe your sales method in one sentence ("a discovery playbook to sell consulting, with a price objection") and the AI builds the playbook: stages with an objective, talk track and questions, tones, keywords and what the copilot must never suggest. It can then make a pipeline suggest it for meetings and test it on a made-up conversation, using the same copilot as a real meeting.

    Before you start:

    • Role: owner, admin or editor to create, edit, link to pipelines, test and delete. Any role can ask to see the playbooks and what a pipeline suggests.
    • Today a playbook applies to Click Meeting meetings and to the voice call. The WhatsApp, Livechat and Flows scopes cannot be used yet.
    • To use your own AI instead of Max, see Connect your AI to Clickmax (MCP).

    1. Ask for the playbook

Say what you sell, who buys and how the conversation usually goes. Example: "Create a meeting playbook to sell marketing consulting: rapport, discovery, proposal and close. Never promise a deadline. I want a trigger for when the customer mentions price." The AI first looks at the playbooks you already have, so it does not create a duplicate, and asks whatever is missing.

Want to review first? Ask "show me the draft before saving". Once saved, the playbook shows up under Contacts & Sales › Settings › Playbooks, where you can fine-tune any detail in the editor.

The AI does not upload files: to add a price table or a presentation to Supporting attachments, use the editor.

    2. Adjust an existing one

Ask for the change in plain words: "in the discovery stage, add a question about budget" or "add a trigger for the word competitor". The AI reads the current playbook, changes only what you asked and keeps the rest — stages, questions, tones, triggers and attachments.

An edit applies to meetings scheduled after it and to upcoming calls. A meeting that is already scheduled keeps the script it had when it was created; to update it, pick the playbook again from inside the room.

    3. Make a pipeline suggest the playbook

Ask "make the New sales pipeline suggest this playbook". The AI shows the pipelines and warns which ones already suggest another playbook, because linking replaces the current suggestion. You can also ask to remove the suggestion from a pipeline.

The link is only a suggestion: whoever schedules the meeting can still pick another playbook or none. Meetings already scheduled and the AI agent chosen on the pipeline do not change. See also Suggest the playbook on pipelines.

To schedule a meeting with a specific playbook, say which one to use when you ask for the booking.

    4. Test before using it

Ask "test this playbook with a customer who already uses a competitor". The AI builds a short conversation, runs the copilot and shows the suggestion the meeting would receive, with its title and tone. You can ask for other scenarios — price objection, a customer who postpones the decision, silence after a question.

    • No suggestion is a normal answer: most lines in a meeting do not call for a card. When there is a reason, the AI shows it.
    • Each test is a real AI call and the answer changes from one run to the next. Ask for a few scenarios and read them together, not one answer alone.
    • Nothing is saved or sent to any contact: the test does not create a meeting.
    • The AI test evaluates the copilot suggestion. To check keywords, which appear without AI, use the Test tab in the editor. See Test the playbook before using it in a meeting.

After the test, ask for the adjustment ("make the proposal stage talk track shorter") and test again.

    Delete a playbook

Ask "delete playbook X". The AI tells you how many pipelines suggest it, asks for your confirmation and only then deletes. Deleting cannot be undone: pipelines that suggested it are left without a suggestion, and meetings already scheduled keep the script they received.

    If it did not work

    • The AI said "Scope not available yet": only the Click Meeting scope can be used today. Ask again without WhatsApp, Livechat or Flows.
    • The AI could not save, link or test: check that your role is owner, admin or editor — see Permissions by role.
    • The test always came back No suggestion: add the meeting goal and who is on the other side to your request, and ask for a customer line that needs an answer, such as an objection.
    • The test with your AI agent did not answer: the agent must be active under Settings › Connections › AI Agents. Without an agent, the test uses the default Clickmax model.
    • The already-scheduled meeting still shows the old script: pick the playbook again from inside the room.
