Proposals
Proposals are commercial documents built from a template and then consolidated with the details of a contact or opportunity, producing a frozen document with a public link to send to the client.
Any workspace member with CRM access can create and consolidate proposals: being signed in is enough, no specific role required.
Everything lives under Contacts & Commercial → Other → Proposals in the side menu. The page lists the generated proposals, one per row, with the proposal's own cover as the thumbnail, plus the contact, the opportunity, the status and when it was viewed.
- New proposal (top button) consolidates an existing template: pick the contact, optionally one of their opportunities, and the template.
- The arrow next to the button opens Create template (build a new template) and View templates (the template list, where you also set up the brand).
- Search matches the proposal or the contact name. Filters opens the same bar as Contacts (field, operator and value) with Status, Type, Template, Viewed and Linked to an opportunity; sorting sits next to it.
- Clicking a row opens the proposal's public link. The ⋯ menu copies the link, downloads the Word file (Document format) and goes to the contact.
A template and a proposal are different things
- A template is what you build and reuse. It stays in Draft while you edit and becomes Active when it is ready to use — the template list filters by those two states. Templates can also be archived to take them out of circulation.
- When you create a template you choose the format. Today there are two: Slide deck (a slide presentation) and Document (a Word file edited right in the platform — see How do I create a Word proposal with variables?). Invoice, Video and One pager are marked as coming soon.
- A proposal is the result of consolidating a template. It starts as Draft and moves on to Sent, Viewed, Accepted, Rejected or Expired.
You can also start from the library's ready-made templates, which appear alongside your own.
Consolidating fills in the contact's details
When you consolidate, the template is combined with the variables of the chosen contact and opportunity, plus the workspace brand. When you consolidate from an opportunity, its primary contact is used. The variables you placed in the template through the builder's Variables panel are replaced with real values — {{ contact name }}, {{ email }}, {{ phone }}, {{ opportunity title }}, {{ value }} and the brand logo, for example. Custom contact and opportunity fields appear under Custom fields, under their own names. In the Document format the same variables go into the Word text with one brace on each side, such as {lead.name}, and there are also the details of the company linked to the opportunity and the consolidation date. A variable with no value for that contact comes out blank. From that point the proposal is frozen: changing the template later does not change a proposal already consolidated.
The brand sets the look
Each workspace has a brand configuration (logo, primary colour, secondary colour and font) used to theme proposals. The brand's look is recorded at the moment of consolidation.
Public link and read receipts
Every consolidated proposal has its own public link — the address itself is the access secret, with no login. The first time the client opens it, the proposal moves to Viewed if it is still in Draft or Sent, so you can see it was opened.
In the Document format, the link shows the document in the browser with Download Word and Print or save as PDF buttons. You can also download the file from ⋯ → Download Word in the proposals list and from the opportunity's Proposals tab.
First visit, no proposals yet
When you don't have any proposals yet, the screen shows a faded preview of the area, the title Create your first proposal, a short summary and three highlights. The Create proposal button opens the same consolidation as New proposal. A search or filter with no results doesn't show this screen: the plain message that nothing was found stays.

If it didn't work
- Consolidation fails saying the lead or opportunity was not found: the chosen contact or opportunity does not exist, or belongs to another workspace.
- A document-format proposal's public link says the document is not ready: it has not been saved to the template yet.
- A Document template does not show up when consolidating: it has never been saved. Open the template and click Save.
- The proposal does not move to Viewed: it only advances from Draft or Sent — proposals already Accepted, Rejected or Expired do not go back.
