How do I create and manage tags?
You manage tags inside Contacts:
- Open Contacts and go to the tags area.
- Create a new tag by giving it a name.
- Apply the tag to a single contact, or select several contacts to apply it in bulk.
Tags help you segment your contacts by source, product bought or event, and they can be used as a condition in automations and segments.
Sort the tag list
In the My tags tab, click the arrows next to Tag to sort by name, next to Contacts to see the tags most used on contacts first, or next to Opportunities to see the ones most used on opportunities first. The Automations, Segments, Forms and Boards columns show how many items of each kind depend on the tag and also sort the list. Click the same column again to reverse the order.
See a tag's details
In the My tags tab, click the tag's row (or the ⋯ menu, then Details). A panel opens on the right with four tabs:
- Settings: the tag's name and color. Pick a color from the palette or type a hex code, check the preview and click Save.
- Usage: reach (how many of your contacts have the tag), how many opportunities carry it, how many contacts received it in the last 30 days, the curve of contacts with the tag over the last 6 months and applications per day over the last 14 days.
- Who received it: the latest contacts that got the tag, newest first. Click a contact to open their record.
- Where it is used: the automations, segments, forms and boards that depend on the tag. Each item opens in a new tab. An empty list means deleting the tag is safe.
The left column summarizes the tag on every tab: its state (Active, Stalled, Empty, in use or Unused), reach, who uses it, and the creation, last edit and last applied dates. The View contacts with this tag button opens the contact list filtered by the tag, the same destination as View contacts in the ⋯ menu.
See a system tag's details
In the System tags tab, each row is an event Clickmax recorded for your contacts (purchase approved, email opened, lesson completed…). The list shows the category, how many contacts fired the event, the total occurrences, how many happened in the last 7 days, and the first and last time it happened. Click the arrows on any column to sort.
Click the row to open the event panel:
- Overview: contacts, occurrences, last 7 days, new contacts in 30 days, occurrences per day (30 days) and per month (6 months), which weekday and hour of day the event happens most (Brasília time) and Usually comes with, the other events the same contacts also fired.
- Contacts: who fires the event most and the latest occurrences. Click a contact to open their record.
- Where it is used: the automations that use this event as a start or exit trigger.
The left column summarizes the event: Active (happened in the last 7 days), Cooling down (only in the last 30) or Silent (nothing in 30 days), its reach among your contacts, the recent pace and how many automations listen to it. View all occurrences opens the full list. System tags cannot be renamed or deleted.
Rename a tag
- In Tags, open the My tags tab.
- Click the ⋯ menu at the end of the tag's row and choose Edit.
- The name turns into an editable field right in the row. Type the new name and press Enter (or click outside the field) to save. Press Esc to cancel.
The name can't be empty. The tag stays applied to the same contacts. To change the color, use the Settings tab of the details panel.
Delete a tag
- In Tags, open the My tags tab.
- Click the ⋯ menu at the end of the tag's row and choose Delete.
- Review the warning. It shows how many contacts, opportunities, automations and segments use the tag, the first contacts that will lose it, and the names of the automations and segments.
- If the tag is in use, type its name in the confirmation field.
- Click Delete tag.
The tag is removed from every contact and opportunity that had it, and deleting cannot be undone. Automations and segments that use the tag are not deleted, but the automation triggers, conditions and actions with that tag stop working, and so does the filter by that tag in segments — the contacts in those segments may change. Review them after deleting.
System tags can't be renamed or deleted.
First visit, no tags yet
When you don't have any tags yet, the screen shows a faded preview of the area, the title Create your first tag, a short summary and three highlights. The Create tag button does the same as the button at the top. A search or filter with no results doesn't show this screen: the plain message that nothing was found stays.
After creating your first tag, the My tags tab displays the list and search field without requiring a page reload.
